Cancellation policy for accommodation bookings in England, Scotland and Northern Ireland for the 2024/25 academic year A. Cooling-off period Within 7 days of accepting the tenant's tenancy agreement, the tenant can cancel the tenant's booking in writing or by emailing the property team directly. If the tenant decides to cancel the guest's accommodation reservation within these 7 days, we will arrange for a full refund of the tenant's deposit. If the tenant books the tenant's accommodation on or after 1 August 2024, the cooling-off period will be shortened to only 24 hours from the time the tenant accepts it. If the tenant cancels the tenant's reservation within these 24 hours, we will arrange for a full refund of the tenant's deposit. Please note that if the tenant checks into the tenant's accommodation and collects the keys during the cooling-off period, the cooling-off period will automatically end immediately. B. Cancellation after the cooling-off period If the tenant wishes to terminate the tenant's tenancy agreement after the cooling-off period, there may be circumstances in which the tenant may have the opportunity to terminate the tenant's tenancy, for example, if the tenant can prove that the tenant is not/is no longer a university student. In other cases, the tenant may need to find a replacement tenant. Please read the section below to check if there are any circumstances that apply to tenants. To submit a cancellation request, please email or write directly to the tenant's property team as required below. The property team will respond to the tenant as soon as possible and make a decision or request additional supporting materials. Please note that a decision may be delayed if any or insufficient formal written evidence is sent to support the reason for the tenant's cancellation request. All cancellation requests are assessed on a case-by-case basis. The following procedures apply in the following cases: • Failure to obtain the required grades for admission to university at the start of the 2024/25 academic year. • Failure to obtain the required visa for admission to the university at the start of the 2024/25 academic year. • The English language courses required for admission to the university have been cancelled. • Deferred from the 2024/25 academic year to the 2025/26 academic year to start university enrolment. • The university selected at the start of the 2024/25 academic year changes to a different city where the student habitat is not available. If the tenant has confirmed the tenant's student habitat but is unable to attend the associated university for the 2024/25 academic year for one or more of the above reasons, the tenant may be able to cancel. Please explain to the tenant's property team via email or letter the reason why the tenant needs to cancel and attach official written evidence from the relevant university and/or summer school and/or UCAS and/or visa agency/embassy in support of the reason why the tenant is unable to attend the relevant university. If sufficient evidence is provided to our satisfaction, the tenant will be eligible to terminate the tenant's tenancy agreement from the date we approve the tenant's cancellation request (this date will not be earlier than the date we receive satisfactory evidence) and we will arrange for a refund of the tenant's deposit (less any deductions (if any) relating to unpaid rent during the tenant's stay, and the condition of the room/apartment at the time the tenant leaves). If a tenant changes their choice of university and wishes to study in a different city for the 2024/25 academic year, we will endeavour to place the tenant in a student habitat in that city, if such accommodation is available. Please note that tenants will need to enter into a new tenancy agreement and that the room type and rent for the student habitat in the new city may differ from the room type and rent for the original student habitat. For example, the amount of rent for a new student habitat in a different city may be higher than the rent for the original student habitat. If no alternative student habitat is available, and the tenant provides sufficient evidence of the above changes, the tenant will be eligible to release the tenant's tenancy agreement from the date we approve the tenant's cancellation request (this date will be no earlier than the date we receive satisfactory evidence) and we will arrange for a refund of the deposit (less any applicable deductions, if the tenant has already moved in). The following procedures apply in the following cases: • Expulsion from the university • Voluntary withdrawal Cancellation of a tenant's tenancy agreement is subject to approval based on the sole discretion of the student's habitat. Cancellation requests for these reasons will be considered on a case-by-case basis. Please explain to the tenant's property team via email or letter the reasons why the tenant wishes to cancel the tenancy, and attach official written evidence from the University to support the tenant's request. Please note that tenants will continue to be responsible for rent until a decision is made on the student habitat. If the tenant's cancellation request is approved, the tenant will release the tenant's tenancy agreement from the date of our approval (this date will be no earlier than the date on which we receive satisfactory evidence in support of the request) and we will arrange for a refund of the tenant's deposit (less any deductions relating to unpaid rent and/or the condition of the room/apartment at the time the tenant leaves). The end of the academic year or the end of any examination period is not eligible for lease termination and the tenant remains liable for the full term of the lease agreement. For the avoidance of doubt, the tenant will be fully responsible for the entire term of the tenancy agreement, regardless of the academic calendar or examination arrangements. The following procedures apply in the following cases: •Change one's mind. • Different accommodations were booked. • Be accepted into an internship or exchange program. • Single-semester courses. • Classes are conducted online temporarily or permanently. • Decide to commute to the tenant's university city. If, for one or more of the reasons listed above, the tenant does not wish to live in the student habitat, the tenant will need to find a replacement to take over the tenant's lease. Tenants are only allowed to do so until May 31, 2025. From 1 June 2025, a lease takeover cannot be carried out. The replacement must be a student and meet the preference for accommodation (e.g., women's apartments only) and the tenant must not be in arrears on any rent. In addition, an existing resident/individual who has completed a 2024/25 room reservation with the Student Habitat cannot be used as a replacement. The lease takeover fee is £50. This fee is non-refundable and covers the costs involved in changing the rental agreement. The substitute must sign a contract of the same length as the tenant's lease agreement and pay a deposit as security. If a replacement is found, the tenant will release the tenant's tenancy agreement from the date of commencement of the substitute's tenancy period, provided that the replacement has signed the tenancy agreement and any applicable cooling-off period has expired. Student Habitat will also refund the tenant's deposit (net of any applicable unpaid rent and/or the condition of the room/apartment at the time the tenant leaves). Please note that the tenant remains liable for the rent until the replacement signs the tenancy agreement and pays the deposit, any applicable cooling-off period expires and their tenancy period begins.

Studens can request a room change/swap and if a suitable room is found,the room change can take a place
