AY24/25 Cancellation Policy No student type restrictions What if I sign my contract on or before 31 July 2024? You can sign your contract on or before 31 July 2024, but you may request a cancellation within 3 days of signing your contract. This is known as your 3-day cooling-off period (once you sign the contract and exceed this 3-day period, you will be bound by the contract). To notify the apartment that you wish to cancel, you must submit a cancellation request under the "Your Requests" tab of your online account within the 3-day cooling-off period. The apartment team will check if your request was made within the 3-day cooling-off period, and if so, they will inform you of the next steps. However, if you sign the contract on or before 31 July 2024 but request a cancellation outside your 3-day cooling-off period, you will be bound by the contract until a suitable replacement tenant is found and the substitution part of clause 9 of the contract is met. The replacement tenant will pay the room type price displayed on the apartment website at the time of their application submission, not the price on your contract. However, you must still notify the apartment that you wish to cancel, so please submit a cancellation request under the "Your Requests" tab of your online account. The apartment team will inform you of the next steps. If your tenancy has started and you have already moved into the room, you will be charged £50 to cover the cost of preparing the room for the replacement tenant. If you sign the contract on or after 1 August 2024, you will be immediately bound by the contract as the apartment will no longer offer a cooling-off period after this date. You will not be able to cancel your booking unless a suitable replacement student is found and the substitution part of clause 9 of the contract is met. The replacement student will pay the room type price displayed on the apartment website at the time of their application submission, not the price on your contract. However, you must still notify the apartment that you wish to cancel, so you need to submit a cancellation request under the "Your Requests" tab of your online account. The apartment team will review your cancellation request and inform you of the next steps. For confirmation, under clause 9 of your contract, you need to find a suitable replacement for your room. If your tenancy has started and you have already moved into the room, you will be charged £50 to cover the cost of preparing the room for the replacement tenant. You can only terminate the contract if one of the following options applies (and you meet the eligibility criteria for that option): You send an email to the apartment within the 3-day cooling-off period informing them of your wish to cancel the contract and have submitted the online cancellation request on the apartment's website, which has been accepted by the apartment. A suitable replacement tenant is found, and clause 9 substitution of the contract is met (the replacement tenant will pay the room type price displayed on the apartment website at the time of their application submission, not the price on your contract). You sign a new contract with the apartment and have signed a new contract (if applicable, beyond the 3-day cooling-off period). If a suitable replacement tenant is found for your room before your contract start date (and clause 9 substitution of the contract is met), the apartment will terminate your contract once the new tenant signs their contract and exceeds the 3-day cooling-off period (if applicable). However, if a suitable replacement tenant is found for your room after your contract start date (and clause 9 substitution of the contract is met), the apartment will release you from your contract from the start date of the new tenant’s contract. This means you will be responsible for the room rent until the new tenant’s contract start date. Please note, there are a series of actions required to be completed once a suitable replacement tenant is found to take over your contract before the apartment can terminate your contract, details of which can be found in the tenancy agreement. Special Circumstances (outside the scope of the above points): First Year Guarantee: If you are about to enter your first year at university (only applicable to pre-university or first-year undergraduate students, details below*), but unfortunately did not achieve the required grades for the course, as long as the apartment receives your cancellation request and grade proof within 48 hours of the grade release (both submitted through the apartment's website), you will be released from the contract. Your grade proof can be provided by UCAS or your college/university showing your full name and grade results. Please submit the cancellation request and a copy of your grade proof under the "Your Requests" tab of your online account. If the apartment can terminate your contract based on these criteria, any paid deposit or rent will be fully refunded. *This section applies to students entering pre-university or the first year of university undergraduate study. Please note: If you have completed your pre-university year and then applied for the first year of university accommodation based on this "First Year Guarantee" cancellation, unfortunately, this does not apply as you have completed the first year of pre-university studies and are technically entering your second year. International Students: If you are coming to study from a country outside the UK and need a visa for this study, but unfortunately your visa application is denied, you can cancel your contract as long as it has not started. You will also need to provide one of the following as supporting evidence, and no cancellation penalties will apply: Confirmation of visa refusal, or Confirmation of failure to obtain a university place. The apartment still requires you to submit a cancellation request through the "Your Requests" tab of your online account and provide a copy of the supporting evidence. If the apartment can terminate your contract based on these criteria, any paid deposit or rent will be fully refunded. If your tenancy has started and you have already moved into the room, the apartment will charge £50 to cover the cost of preparing the room for the new tenant. *Subjective transfer of school or room: Need to contact the apartment to confirm if it can be handled *Policy is subject to change, and the tenancy agreement takes precedence.

You can make remarks about your requirements during the application process, and the apartment will allocate rooms based on availability. If there are rooms available, you can choose your preferred room.

You can change rooms during the cooling-off period. After this period, changes are limited to upgrades only.
