Renewal Policy

Book directly on the official website (if you need to check the room number and other room information in advance, you need to contact the apartment booking contact person to confirm): Apply for a student ID, fill in the agent code "Acolyte Living_2425" during the application process, and select agency as the booking source; Note during the application process, room preferences and requirements; Check the contract in the classmate apartment account; Sign the contract, pay the deposit, and provide the guarantor information for installment payments. About short-term rentals: SR has no commission for reservations of less than 39 weeks, unless there is no gap between long-term and short-term rentals. Before booking a short-term rental, please ask the consultant to chat with me privately, and I will report it to SR. After they confirm that there is a commission, continue to apply, otherwise there is no commission. *All SR applications: Students cannot communicate with SR marketplace! ! ! Everything is communicated between consultants and marketplace (Marketplace emails are not allowed to be shared with students, and this email can only be used for external contact SR commission (from external updates): Please note the SR reservation requirements, check in and pay the rent on the date required by the contract, otherwise the apartment will refuse to return the commission, affecting the commission and cashback. Please pay attention to this issue! Thank you! *SR orders need to return to the account again after the student submits the deposit to make other agreements. It is not that everything will be fine after the deposit is paid. Please pay attention to this *SR guarantor documents In principle, all orders need to be submitted to the apartment, except for those who choose to pay the rent in full when placing the order (and have paid the rent within 14 days after accepting the offer). All other orders are deemed to require guarantor documents. Even if you choose to pay the rent in full but still do not pay the rent, you will face the risk of being chased for guarantor documents, and there is a risk of cancellation of the order when there is insufficient vacancy

Refund Policy

Cancellation Policy for Accommodation Bookings for the 2024/25 Academic Year in England, Scotland and Northern Ireland A. Cooling-off Period You have 7 days from acceptance of your tenancy agreement to cancel your booking by writing or emailing the property team directly. If you decide to cancel your booking within these 7 days, we will arrange a full refund of your deposit. If you book your accommodation on or after 1 August 2024, your cooling-off period will be reduced to just 24 hours from the time of your acceptance. If you cancel your booking within these 24 hours, we will arrange a full refund of your deposit. Please note that if you move into your accommodation and collect your keys within the cooling-off period, the cooling-off period will automatically end immediately. B. Cancellation after the cooling-off period If you wish to terminate your tenancy agreement after the cooling-off period, there are some circumstances where you may be able to terminate your tenancy, for example if you can prove that you are not/no longer a student at the University. In other cases, the tenant may need to find a replacement tenant. Please read the section below to check if any of the circumstances apply to the tenant. To submit a cancellation request, please send an email or letter directly to the tenant's property team in accordance with the requirements below. The property team will respond to the tenant as soon as possible with a decision or request additional supporting materials. Please note that failure to send any or insufficient formal written evidence to support the tenant's reason for the cancellation request may delay the decision. We assess all cancellation requests on a case-by-case basis. The following procedures apply in the following cases: • Failure to obtain the required grades for entry to university at the start of the 2024/25 academic year. • Failure to obtain the required visa for entry to university at the start of the 2024/25 academic year. • Cancellation of a foundation English course required for entry to university. • Deferral of entry to university from the start of the 2024/25 academic year to the start of the 2025/26 academic year. • Change of university choice at the start of the 2024/25 academic year to a different city where student habitat is not available. If you have confirmed your student accommodation, but are unable to attend the associated university for the 2024/25 academic year due to one or more of the reasons listed above, you may be able to cancel. Please email or write to your property team explaining why you need to cancel and attaching formal written evidence from the relevant university and/or summer school and/or UCAS and/or visa agency/embassy to support the reasons why you cannot attend the relevant university. If sufficient evidence is provided to our satisfaction, you will be eligible to release your tenancy agreement from the date we approve your cancellation request (which will not be earlier than the date we receive satisfactory evidence) and we will arrange for the return of your deposit (if you have already moved into the accommodation, less any deductions in relation to rent not paid during your stay, if any, and the condition of the room/flat when you leave). If you change your choice of university and wish to study in a different city for the 2024/25 academic year, we will endeavour to place you in a student accommodation in that city, if such accommodation is available. Please note that the tenant will need to enter into a new tenancy agreement and the room type and rent of the Student Habitat in the new city may be different to that of the original Student Habitat. For example, the rent amount of the new Student Habitat in a different city may be higher than that of the original Student Habitat. If no alternative Student Habitat is available and the tenant provides sufficient evidence of the above changed circumstances, the tenant will be eligible to cancel the tenant's tenancy agreement from the date we approve the tenant's cancellation request (this date will not be earlier than the date we receive satisfactory evidence) and we will arrange for the return of the deposit (less any applicable deductions if the tenant has already moved in). The following procedures apply in the following cases: • Eviction by the University • Voluntary withdrawal Cancellation of a tenant's tenancy agreement requires approval at the sole discretion of Student Habitat. We will consider cancellation requests for these reasons on a case-by-case basis. Please explain to the tenant's property team the reasons why the tenant wishes to cancel the tenancy by email or letter and attach official written evidence from the University to support the tenant's request. Please note that the tenant will continue to be responsible for the rent until Student Habitat makes a decision. If the Tenant’s cancellation request is approved, the Tenant will be released from the Tenant’s Tenancy Agreement from the date we approve it (which date will not be earlier than the date we receive satisfactory evidence in support of the request) and we will arrange for the Tenant’s deposit to be returned (less any deductions related to unpaid rent and/or the condition of the room/apartment when the Tenant departs). The end of the academic year or any examination period does not qualify as a Tenancy Release and the Tenant will remain responsible for the full term of the Tenancy Agreement. For the avoidance of doubt, the Tenant will remain fully responsible for the full term of the Tenancy Agreement regardless of the academic calendar or examination arrangements. The following procedures apply in the following situations: • Change of mind. • Booked different accommodation. • Accepted to an internship or exchange program. • Single semester course. • Course moved online temporarily or permanently. • Decided to commute to the Tenant’s university city. If the Tenant does not wish to live in Student Habitat for one or more of the reasons listed above, the Tenant will need to find a replacement to take over the Tenant’s tenancy. The Tenant is only allowed to do this until 31 May 2025. From 1 June 2025, a tenancy takeover cannot take place. The replacement must be a student and meet the accommodation preferences (e.g. female only flats) and the tenant cannot be in arrears of rent. Also, an existing resident/individual who has completed a room booking with Student Habitat for 2024/25 cannot be used as a replacement. The tenancy takeover fee is £50. This fee is non-refundable and covers the costs involved in changing the tenancy agreement. The replacement must sign a tenancy agreement of the same length as the tenant's tenancy agreement and pay a deposit as security. If a replacement is found, the tenant will be released from the tenant's tenancy agreement from the date the replacement's tenancy begins, provided the replacement has signed the tenancy agreement and any applicable cooling-off period has expired. Student Habitat will also refund the tenant's deposit (less any applicable unpaid rent and/or the condition of the room/flat when the tenant left). Please note that the tenant remains responsible for rent until the replacement has signed the tenancy agreement and paid the deposit, any applicable cooling-off period has expired and their tenancy begins.

Room Assignment Policy

Students can provide their room preferences in advance, and we will strive to accommodate them based on availability.

Room Change Policy

You can change rooms during the cooling-off period. After this period, changes need to contact the apartment directly or consulting acolyteliving.com. Please note that room changes are subject to availability.

Subletting Policy

1. Subletting before moving in will be subject to commission, but it may not be allowed after moving in depending on the situation 2. (All SR applications: students are prohibited from communicating directly with the marketplace!!!!) Preparation 1. Fill out the subletting application form 2. Subtenant A sends an email to the apartment saying that he wants to sublet to tenant B, and ccs the email to the consultant 3. Tenant B sends an email to the apartment saying that he wants to rent, and ccs the email to the consultant' Start applying for subletting: 1. The consultant forwards the email sent by the tenant/subtenant to the apartment, stating who (student ID) wants to sublet and who (student ID) wants to rent which room (the email needs to be attached with the subletting application form) 2. At this time, all subletting emails sent by consultants to the site need to be cc: marketplace.sales@studentroost.co.uk (so that the Acolyte Living Code can be added later to confirm with SR) 3. Recording: Subletting orders need to be recorded by SR later The contact person will fill in the code manually, so all sublease or offline application forms should be recorded and uploaded to the "sr code" table on the Weipan. Before locking the order each month, check with the SR and confirm the order. Thank you.

Termination Policy

Cancellation Policy for Accommodation Bookings for the 2024/25 Academic Year in England, Scotland and Northern Ireland A. Cooling-off Period You have 7 days from acceptance of your tenancy agreement to cancel your booking by writing or emailing the property team directly. If you decide to cancel your booking within these 7 days, we will arrange a full refund of your deposit. If you book your accommodation on or after 1 August 2024, your cooling-off period will be reduced to just 24 hours from the time of your acceptance. If you cancel your booking within these 24 hours, we will arrange a full refund of your deposit. Please note that if you move into your accommodation and collect your keys within the cooling-off period, the cooling-off period will automatically end immediately. B. Cancellation after the cooling-off period If you wish to terminate your tenancy agreement after the cooling-off period, there are some circumstances where you may be able to terminate your tenancy, for example if you can prove that you are not/no longer a student at the University. In other cases, the tenant may need to find a replacement tenant. Please read the section below to check if any of the circumstances apply to the tenant. To submit a cancellation request, please send an email or letter directly to the tenant's property team in accordance with the requirements below. The property team will respond to the tenant as soon as possible with a decision or request additional supporting materials. Please note that failure to send any or insufficient formal written evidence to support the tenant's reason for the cancellation request may delay the decision. We assess all cancellation requests on a case-by-case basis. The following procedures apply in the following cases: • Failure to obtain the required grades for entry to university at the start of the 2024/25 academic year. • Failure to obtain the required visa for entry to university at the start of the 2024/25 academic year. • Cancellation of a foundation English course required for entry to university. • Deferral of entry to university from the start of the 2024/25 academic year to the start of the 2025/26 academic year. • Change of university choice at the start of the 2024/25 academic year to a different city where student habitat is not available. If you have confirmed your student accommodation, but are unable to attend the associated university for the 2024/25 academic year due to one or more of the reasons listed above, you may be able to cancel. Please email or write to your property team explaining why you need to cancel and attaching formal written evidence from the relevant university and/or summer school and/or UCAS and/or visa agency/embassy to support the reasons why you cannot attend the relevant university. If sufficient evidence is provided to our satisfaction, you will be eligible to release your tenancy agreement from the date we approve your cancellation request (which will not be earlier than the date we receive satisfactory evidence) and we will arrange for the return of your deposit (if you have already moved into the accommodation, less any deductions in relation to rent not paid during your stay, if any, and the condition of the room/flat when you leave). If you change your choice of university and wish to study in a different city for the 2024/25 academic year, we will endeavour to place you in a student accommodation in that city, if such accommodation is available. Please note that the tenant will need to enter into a new tenancy agreement and the room type and rent of the Student Habitat in the new city may be different to that of the original Student Habitat. For example, the rent amount of the new Student Habitat in a different city may be higher than that of the original Student Habitat. If no alternative Student Habitat is available and the tenant provides sufficient evidence of the above changed circumstances, the tenant will be eligible to cancel the tenant's tenancy agreement from the date we approve the tenant's cancellation request (this date will not be earlier than the date we receive satisfactory evidence) and we will arrange for the return of the deposit (less any applicable deductions if the tenant has already moved in). The following procedures apply in the following cases: • Eviction by the University • Voluntary withdrawal Cancellation of a tenant's tenancy agreement requires approval at the sole discretion of Student Habitat. We will consider cancellation requests for these reasons on a case-by-case basis. Please explain to the tenant's property team the reasons why the tenant wishes to cancel the tenancy by email or letter and attach official written evidence from the University to support the tenant's request. Please note that the tenant will continue to be responsible for the rent until Student Habitat makes a decision. If the Tenant’s cancellation request is approved, the Tenant will be released from the Tenant’s Tenancy Agreement from the date we approve it (which date will not be earlier than the date we receive satisfactory evidence in support of the request) and we will arrange for the Tenant’s deposit to be returned (less any deductions related to unpaid rent and/or the condition of the room/apartment when the Tenant departs). The end of the academic year or any examination period does not qualify as a Tenancy Release and the Tenant will remain responsible for the full term of the Tenancy Agreement. For the avoidance of doubt, the Tenant will remain fully responsible for the full term of the Tenancy Agreement regardless of the academic calendar or examination arrangements. The following procedures apply in the following situations: • Change of mind. • Booked different accommodation. • Accepted to an internship or exchange program. • Single semester course. • Course moved online temporarily or permanently. • Decided to commute to the Tenant’s university city. If the Tenant does not wish to live in Student Habitat for one or more of the reasons listed above, the Tenant will need to find a replacement to take over the Tenant’s tenancy. The Tenant is only allowed to do this until 31 May 2025. From 1 June 2025, a tenancy takeover cannot take place. The replacement must be a student and meet the accommodation preferences (e.g. female only flats) and the tenant cannot be in arrears of rent. Also, an existing resident/individual who has completed a room booking with Student Habitat for 2024/25 cannot be used as a replacement. The tenancy takeover fee is £50. This fee is non-refundable and covers the costs involved in changing the tenancy agreement. The replacement must sign a tenancy agreement of the same length as the tenant's tenancy agreement and pay a deposit as security. If a replacement is found, the tenant will be released from the tenant's tenancy agreement from the date the replacement's tenancy begins, provided the replacement has signed the tenancy agreement and any applicable cooling-off period has expired. Student Habitat will also refund the tenant's deposit (less any applicable unpaid rent and/or the condition of the room/flat when the tenant left). Please note that the tenant remains responsible for rent until the replacement has signed the tenancy agreement and paid the deposit, any applicable cooling-off period has expired and their tenancy begins.
